Executive Assistant CEO/COO’s Life Saver Career Description:

The primary job responsibility is providing support in all areas of a CEO/COO’s business life. With the help of an executive assistant, it’s expected that the workload of the CEO/COO will run smoothly and the CEO/COO meeting schedules are properly arranged. As a result, it’s required to work in a fast paced, agency work environment that demands not only excellent problem solving skills but also a high level of organizational as well as strong communication skills.

The overlapping requirement for this role is someone who can build trust with the CEO/COO, has an understanding and motivation for the importance of managing multiple competing priorities. What you’ll be doing at our exciting celebrity marketing agency:

-Manage daily activities involving six key core areas of the company… operations, long term planning, sales, accounting, human resources and speakers division.

-Provide high level administrative support preparing reports and memorandum, scheduling meetings, planning business trips, answering phone calls and managing information requests by the CEO/COO. — Managing six key core areas of the company…

-Ensure the CEO/COO’s schedule runs smoothly. This involves preparing reports prior to meetings, scheduling appointments and managing the CEO/COO’s calendar.

-Monitor & organize a substantial portion of the inbound and outbound communication often serving as liaison for communication with staff & key vendors.

-Significant interaction with senior management team.

-Manage & book flight tickets, arrange for accommodations and reserve car rentals.  Prepare expense reports.

-Handle confidential information which requires discretion and diplomacy.

-Coordinate typical office work such as typing correspondence, answering phone calls, photocopying, mailing, faxing, filing, arranging accommodations and logistics for visitors as well as transcribing notes.

-Trusted confidant as she/he is the most trusted person of the CEO/COO.

What you need:

-Self motivation and proactive work style comfortable in entrepreneurial work environment.

-Bachelor degree preferably in business, accounting, marketing or finance management.

-Several years or more of related job experience providing support at the executive level.

-Proficient computer skills, typing skills and in-depth knowledge of relevant software such as MS Office Suite.

-High degree of organization, professionalism & initiative responding quickly to tasks.

-Excellent written and communication skills.

-Problem analysis and problem solving skills anticipating challenges and working independently to resolve them.

-Attention to detail and accuracy.
